How do you prepare for an inspection?

Preparation is continuous rather than done beforehand; what an inspection asks is the state of the records today.

Continuous preparation

An arrangement pulled together a week before an inspection has already missed the question the inspection asks: are the records current as at today? Preparation means keeping records up to date day by day.

What is examined

Staff certificates and the full-time condition; contracts and their approval status; the record of service given; training records and copies; the annual work plan and evaluation report; premises and equipment conditions; the responsible manager's assignment.

The most expensive line

Failing to provide information and documents requested in inspections is a serious breach in the warning table, met with one hundred points. Not being able to find a document produces the same result as never having kept it.

After the inspection

Every finding becomes a task with an owner and a date. A finding left unclosed returns at the next inspection as the same line and often with a heavier result.

In Optifora

The organisation record continuously shows certificate expiries, contract approvals and record gaps; the pre-inspection checklist is produced from the existing record.

Manage this in Optifora

Optifora is not a single program but a compliance platform assembled from modules. The catalogue states which module is ready today and which is on the roadmap.
