Output formats

A report is not locked into one format. The same table can leave as a document to be read and as data to be loaded into another system.

PDF

A document ready to print and to sign; the page layout is set as the export is made.

Excel Document (.xlsx)

A workbook with the column headers kept, for carrying the table on in your own calculations.

Word Document (.docx)

An editable document, to be pasted into an internal report.

CSV

A flat delimited table; the shortest way into another system.

JSON

Structured output with the field names, for wiring into your own software.

XML

Structured output read against a schema; used in corporate data exchange.

HTML

A table that opens in the browser with its formatting intact.

Plain Text (TXT)

Unformatted plain text; readable in even the narrowest environment.

What you choose while exporting

The export dialog does not end at picking a format: the paper, the orientation, the scale and which records travel with the document are set in the same dialog.

  • Paper SizeThe paper size of the document; the report to be printed and the report to be read on screen come out of the same file.
  • OrientationPortrait or landscape. Wide tables fit a landscape page without a column being cut.
  • Data ScopeOnly the page on screen, or the whole filtered record set; the choice is written into the output along with the number of records it carries.
  • ScaleThe scale that fits the table on the page; the reduction is visible on the document.

Where the document goes

The document is not only downloaded; it can be printed, sent or shared without leaving the screen.

  1. PrintSends the document straight to the printer; if printing is blocked the screen says why.
  2. Send via EmailAttaches the document that was produced to an e-mail.
  3. Share via WhatsAppShares the document through the messaging app on the device.
  4. Share on DeviceOpens the device's own share sheet; where the device does not support sharing it says so plainly.
  5. Copy to ClipboardCopies the table to the clipboard, to be pasted into another document as it is.
  6. Save as FileSaves the document as a file in the chosen format.
Legally valid digital signature

Signed output

For a report to carry weight outside the organisation it has to be clear who produced it. The same document can be produced along one of three signing routes.

  • Digitally Signed PDFA document signed with a qualified electronic signature device; the screen says whether the signing device is ready before the export is made.
  • Mobile Signed PDFSigning over a mobile signature line; the phone number is asked for and the signature is confirmed on the operator side.
  • Hand Signed PDFThe version prepared for a wet signature; the signature area is printed as a reserved block on the document.

A signature belongs to a person: the signer's identity details, diploma number or registry number are verified in the signature panel. If no signing device is found the operation is not left half done — the screen writes the reason.

Dashboard and Panel Management

Dashboards are not hard-wired into the code. Each dashboard is a template; components are placed into the template, the template is bound to a role and becomes the landing dashboard for that role.

KPI card

A card that shows a single figure large; its title and the field it measures are defined in the template.

Line chart

Shows how a measure changes over time.

Bar chart

Compares categories side by side; for a breakdown by sector, unit or period.

Risk matrix

Brings the spread of risks across the likelihood and severity axes onto the dashboard.

Task list

Open work and its due dates, seen straight from the dashboard.

Recent activity

The stream of the latest operations carried out on records.

Calendar

The calendar view of planned inspections, training and examinations.

Map

The spread of records by location; for workplaces with several sites.

  • Template name and keyEvery dashboard has a readable name and a key it is called by; as long as the key does not change the dashboard stays where it is.
  • Component countHow many components a template carries is visible in the list, so an empty template is not published unnoticed.
  • Bound rolesWhich roles the dashboard is open to is written on the template; a role without the right does not see it.
  • Default dashboardWhich dashboard a role lands on is marked on the template.
  • Open to the userWhether the template can be edited by the user is a separate switch; a locked dashboard looks the same to everyone.

Scheduled Tasks

Manage system scheduled tasks

  • Task NameThe name that says what the task does, and the function it calls, sit on the record.
  • ScheduleA task is triggered either by a cron expression or at a fixed interval; both kinds of trigger appear in the same list.
  • StatusA task can be active or stopped. A stopped task is not deleted; its schedule is kept, it simply does not run.
  • Time RemainingThe time left to the next run is written in days, hours and minutes; a task with no schedule is marked as unscheduled.
  • Total TasksThe total and active task counts sit at the head of the list, so a task that has quietly stopped is not missed.
  • Running by handA task can be run with one button without waiting for its time; the result appears on the same screen.

Notification Templates

Producing a report is not enough; the result has to reach the right person. Notification text is not buried in the code — every notification is a template, and the template is edited from the admin side.

E-mail

An e-mail notification whose subject and body are kept apart; the report attachment goes out on this channel.

SMS

A short message notification; the body is a single block of text.

Web notification

The notification shown inside the portal; it drops while the user is signed in.

Mobile notification

The push notification sent to a mobile device.

  • Template keyA template is called by its key, so the same event uses the same template everywhere and two different wordings never appear.
  • Subject and body textSubject and body are not typed in directly but held as language keys, so the notification goes out in the recipient's language.
  • VariablesWhich fields drop into the template is declared; values such as name, date and record number are filled in at the moment of sending.
  • PreviewA template can be seen filled in before it is saved, so a wrong variable is caught before it goes live.
Türkiye

IBYS Integration

Fully integrated with the Occupational Health and Safety Information Management System (IBYS). Automatic data transfer and synchronization.

  1. Work accident notificationThe worker's identity details, the SGK registration number of the workplace, the date, time, place and type of the accident, the injury location, the injury type, the treatment type and the disability period are collected in one form; witness details are added optionally.
  2. Worker health examination notificationThe examination type, date and result, any restrictions and the next examination date are submitted together with the identity details of the doctor who carried it out.
  3. Insurance status queryThe worker's insurance status, SGK registration number, employer and start date are queried; the result is written plainly as insured or not insured.

The outcome of a submission is never guessed. If the service returns an error code the screen writes what that code means and what should be done; a failed operation is not shown as a successful one.

Electronic report submission

Submission takes four steps and each step advances separately on the screen, so it is visible where it stopped.

  1. PIN VerificationThe PIN of the signing device is verified.
  2. Certificate ReadingThe certificates on the device are read and the one fit for signing is selected.
  3. Signature GenerationThe signature of the document is generated.
  4. Sending to MedulaThe signed document is sent to the institution's service and the returned result is written on the screen.

Page Statistics

The use of the portal itself is measured too: how many times a page was opened, how many separate sessions it came from and the daily trend all sit on the same screen.

  • Total ViewsThe total number of views in the selected period.
  • Unique Sessions (Estimated)Views coming from the same visit count as one session; the figure is marked as an estimate rather than presented as exact.
  • Different PagesThe number of distinct pages opened at least once in the period.
  • Daily Trend (Last 7 Days)The daily view curve of the last seven days.
  • Most Viewed PagesThe most opened pages, listed with their title, address and count.
Today Last 7 Days Last 30 Days All Time

Measurement is at page level and records do not pile up without limit: records older than 90 days can be cleared in one operation.
